How outsourcing fleet management can help you

Volkswagen Financial Services | Fleet (VWFS | Fleet) recently joined forces with one of the UK’s leading retailers to provide a company car scheme for its sales and management teams.

With hundreds of stores and thousands of employees across the UK, the client has a significant fleet to manage. The fleet – provided by Volkswagen Group’s Audi brand – is expected to grow to 1,800 cars this year, so the company and Audi approached VWFS | Fleet to enquire about fleet management services and how we can help reduce costs and save on admin time.

VWFS | Fleet worked closely with the retailer to understand its existing processes and identify areas where we could help. Initially, VWFS | Fleet proposed Fleet Management Dashboard, a fleet management tool that allows companies to keep track of all their cars, and to manage the servicing, maintenance and any tyre and glass repairs. VWFS | Fleet also offers Driverline 24/7, which gives the company’s drivers a single contact number to access all of these services. The retailer then began a trial period in August 2015, with VWFS | Fleet initially managing 120 cars.

The trial presented a range of new challenges for VWFS | Fleet, but the team was able to meet them all. Firstly, contractual challenges around transactions with a company headquartered in Europe proved a test, but the VWFS | Fleet legal team was able to overcome this. We were also able to quickly integrate new and existing suppliers into our electronic invoicing systems, to make the transition as smooth as possible.

The trial was a great success and the client has now outsourced management of its entire fleet to VWFS | Fleet. This has allowed them to reduce administration and control costs better, while its Regional Managers now have more time to focus on their work.

This has been a great demonstration of how VWFS | Fleet can help a client manage this important part of the business.
